Membership Payments and Invoices

Track membership invoices, view detailed receipts with line items and payment sources, add notes, and email invoices to members directly from the Payments page.

The Payments page is your central workspace for viewing and managing membership invoices, tracking balances, and handling billing operations.To access it, go to Membership in the left sidebar and click Payments.

Filtering Payments

Use the Filters panel at the top of the page to narrow down the invoice list:

  • Search — Search by invoice number or member.
  • Membership Types — Filter by a specific membership type, or view all.
  • Invoice Status — Filter by status, or view all.
  • Payment Methods — Filter by how the payment was made, or view all.
  • From Date / To Date — Filter invoices within a specific date range.

Click Apply Filter to update the results, or Clear to reset all filters.

Payments List

The table displays the following information for each invoice:

  • Invoice — The invoice number, along with the payment method used and card details where applicable.
  • Member — The name and email of the member the invoice belongs to.
  • Status — The current status of the invoice, such as Paid.
  • Invoice Date/Time — The date and time the invoice was generated.
  • Total — The total invoice amount.

Click the three dot menu under Actions next to any invoice to access the following options:

  • Detail — Open the full receipt for this invoice.
  • Send via Email — Email a copy of the invoice to the member.
  • Member Profile — Jump to the member’s profile page.

Viewing a Receipt

Selecting Detail opens the full receipt for the invoice, showing:

  • Invoice Number — The unique identifier for the invoice.
  • Invoice Amount — The total amount charged.
  • Membership — The membership type the invoice relates to.
  • Payment Method — How the member paid, e.g. Debit/Credit Card.
  • Invoice Date — The date and time the invoice was created.
  • Payment Status — The result of the payment, e.g. Success.
  • Payment Source — The card or account used, e.g. Visa ending in 1111.

Use the mail icon at the top right to send the receipt via email, or the download icon to save it. Click Back to Invoices to return to the full payments list.

Notes

Each receipt includes a Notes section where you can add internal notes related to the invoice. Click + Add Note to add one. If no notes have been added, this section will display “No notes captured.”

Member Detail

The receipt also displays the member’s details associated with the invoice, including Name, Email, Phone, Street Line 1, Street Line 2, and Zip. Click View Detail next to the member’s name to open their full Membership Profile. Any fields not provided will display as “—.”

Line Items

A breakdown of everything included in the invoice is displayed in a table, showing the Description, Quantity, Rate, Tax, Service, and Amount for each item, along with the Net Total at the bottom.

Sending an Invoice via Email

Selecting Send via Email opens the Review Recipients window, where you can:

  • Confirm or edit the Recipient Email.
  • Toggle Notify Organizer to send a copy to the organizer.
  • Add Other Notification Emails, separating multiple addresses with a comma.

Click Send Email to deliver the invoice, or Cancel to close the window without sending.
