Creating and managing membership types
Define the plans you offer your members. Learn how to create a membership type from scratch, set pricing and billing cycles, add discount coupons, configure sign-up questions, customize the welcome email, and manage approval and upgrade settings.
Membership Types are the plans you offer to your members. Each type defines its own pricing, billing cycle, branding, payment methods, questions, and approval settings. You can create as many membership types as you need, for example a monthly plan, an annual plan, or a lifetime membership.To access Membership Types, go to Membership in the left sidebar and click Membership Types.
Creating a Membership Type
Click + Create Type in the top right corner to open the membership type builder. The builder walks you through each step one at a time with a live preview on the right so you can see how your membership page will look to members as you build it.
Step 1: Membership Title
Enter a name for your membership type, for example “Monthly Membership” or “Annual Supporter.” This is the name members will see on the sign-up page. The title must be between 3 and 80 characters.

Step 2: Description
Write a description explaining what this membership includes and who it is for. You can use the rich text editor to format the content, or use the built in AI generator by typing /ai in the editor to create a description instantly.

Step 3: Color
Choose a theme color for your membership type. This color will appear on the membership card and registration page to help visually distinguish it from other membership types you offer.

Step 4: Upload Banner
Add a banner image for your membership type. You have three options:
- Drag and Drop — Upload your own image directly.
- Generate Using AI — Describe the image you want and the AI will create a custom banner for you.
- Stock Images — Choose from a curated collection of images organized by category such as Community, Education, Healthcare, Environment, and Food Relief.
Step 5: Payment Account
Select the payment account that will collect membership charges and choose which payment methods members can use:
- Debit and Credit Card
- Apple and Google Pay

Step 6: Pricing
Set the membership price and billing cycle. Enter the membership price and select one of the following billing frequencies:
- Monthly — Renewed every month.
- Annual — Renewed every year.
- Life Time — A one time charge with no renewal.
- Custom — Define your own billing cycle.
To offer a free membership, enter 0.00 as the price.

Step 7: Discount Coupons
You can create promotional discount coupons for this membership type. Enable discounts and then click Add Coupon to create one. For each coupon you can set:
- Code — Enter a code manually or click Generate Random Code to create one automatically.
- Type — Choose between a fixed amount discount or a percentage discount.
- Value — The discount amount or percentage.
- Max Discount — Available for percentage discounts to cap the maximum saving.
- Total Coupons — The total number of times this coupon can be used.
- Is Active — Toggle to make the coupon available or unavailable.

Step 8: Questions
Attach a custom form to this membership type to collect additional information from members during sign-up. You can select an existing custom form from the dropdown or add standalone custom questions directly on this step. Questions can be set as required and configured with multiple options. Step 9: Welcome Email
Customize the email members receive when they successfully join. You can:
- Toggle Notify Organizer to receive a copy of each welcome email.
- Add additional recipient email addresses to be notified of new sign-ups.
- Edit the Email Subject and use variables such as First Name to personalize it.
- Write a custom message in the email body. The email begins with a default template and you can add your own message after it.

Step 10: Settings
Configure additional options for this membership type:
- Requires Approval — When enabled, each new applicant must be manually approved before becoming an active member.
- Registration Window — When enabled, sign-ups will only be available within a specific date range you define.
- Membership Upgrade Paths — Configure which membership types a member can upgrade to from this one, and set the charge rule for the upgrade. Options include Full Price or a Fixed Upgrade Amount. You can also require approval for upgrades.

Step 11: Review and Publish
Review a summary of your membership type before publishing. You can confirm or adjust:
- Whether the membership is live and open for sign-up.
- Membership title, color, and payment account.
- Pricing and billing cycle.
- Whether discount coupons, questions, approval, and registration window are enabled.
Toggle Are we live? to publish the membership and make it available for sign-up, or leave it off to save it as a draft until you are ready.

Managing Membership Types
From the Membership Types list, click the three dot menu on any membership type to access the following options:
- Members — View active members enrolled in this type, copy the sign-up link, or add a member manually.
- Status — Switch the membership between Online (open for sign-up) and Offline (closed for sign-up) without deleting it.
- Edit — Return to the builder to update any settings.
- Delete — Permanently remove the membership type.
Managing members profiles
Learn how to search and filter your registered members, review membership status and expiry dates, and access detailed member profiles with contact info, address, and registration responses.
The Members page shows everyone enrolled across your membership types. From here you can search, filter, and view detailed profiles for each member.To access it, go to Membership in the left sidebar and click Members.

Filtering Members
Use the Filters panel at the top of the page to narrow down the member list:
- Search — Search by name or email.
- Membership Type — Filter by a specific membership type, or view all.
- Membership Status — Filter by status, or view all.
Click Apply Filter to update the results, or Clear to reset all filters.
Members List
The members table displays the following information for each member:
- Member — The member’s name.
- Active Membership — The membership type they are currently enrolled in.
- Membership Status — Whether the member is Active or another status.
- Email — The member’s contact email.
- Membership Expiry — The date their current membership expires or renews.
Click the three dot menu under Actions next to any member and select Detail to open their full Membership Profile.
Membership Profile
The Membership Profile page gives you a complete view of a single member, including their registration details, contact information, and membership history.
At the top of the page, you’ll see key details at a glance:
- Active Membership — The membership type the member is currently enrolled in.
- Status — The member’s current status, such as Active.
- Member Since — The date the member joined.
- Expire — The date the current membership period ends.
Each member also has a unique Member ID displayed for reference.
Profile and Contact
Displays the core contact details collected during registration, including Name, Email, and Phone.
Address
Displays the member’s address information, including Type (e.g. Home), Address Line 1, Address Line 2, City, State, Country, and Zip/Postal Code. Any fields not provided during registration will display as “Not provided.”
Membership History
Shows a record of the member’s membership types and their expiry dates, with the most recent record listed first.
Custom Questions
If the membership type included custom questions during sign-up, the member’s individual responses are displayed here.
Membership Notes
Displays internal notes attached to the member’s record, such as “New Registration.”
Click Back to Members at the top of the page to return to the full members list.
Reviewing pending membership
Learn how to review pending membership applications, check applicant details and registration responses, and approve or reject sign-ups that require approval.
The Pending Approvals page lists all members who have signed up for a membership type with Requires Approval enabled. From here you can review each applicant’s details and approve or reject their membership.To access it, go to Membership in the left sidebar and click Pending Approvals.
Filtering Pending Approvals
Use the Filters panel at the top of the page to narrow down the list:
- Search — Search by name, email, or phone.
- Membership Types — Filter by a specific membership type, or view all.
- Membership Status — Filter by status, or view all.
Click Apply Filter to update the results, or Clear Filters to reset.

Pending Approvals List
The table displays the following information for each applicant:
- Member — The applicant’s name.
- Active Membership — The membership type they applied for.
- Membership Status — Shown as Pending Approval.
- Email — The applicant’s contact email.
- Membership Expiry — The date their membership will expire once approved.
Click the three dot menu under Actions next to any applicant and select View Detail to open their full Member Profile.
Reviewing a Member Profile
The Member Profile page gives you a complete view of the applicant, including their registration details, contact information, and membership history, so you can make an informed decision before approving or rejecting.
At the top of the page, you’ll see key details at a glance:
- Active Membership — The membership type the applicant signed up for.
- Status — Shown as Pending Approval.
- Applied On — The date and time the application was submitted.
- Expiry — The date the membership will expire once approved.
Profile and Contact
Displays the applicant’s core contact details, including Name, Email, and Phone.
Address
Displays the applicant’s address information, including Type (e.g. Home), Address Line 1, Address Line 2, City, State, Country, and Zip/Postal Code. Any fields not provided during registration will display as “Not provided.”
Membership History
Shows a record of the applicant’s membership, including the membership name, expiry date, and a link to the associated invoice number.
Custom Questions
If the membership type included custom questions during sign-up, the applicant’s individual responses are displayed here.
Approving or Rejecting an Applicant
From the Member Profile page, use the buttons in the top right corner to make a decision:
- Approve — Activates the membership and moves the member to your active members list.
- Reject — Declines the application and removes it from the pending list.
Click Back to Pending Approval at the top of the page to return to the full list without making a decision.

Membership payments and invoices
Track membership invoices, view detailed receipts with line items and payment sources, add notes, and email invoices to members directly from the Payments page.
The Payments page is your central workspace for viewing and managing membership invoices, tracking balances, and handling billing operations.To access it, go to Membership in the left sidebar and click Payments.
Filtering Payments
Use the Filters panel at the top of the page to narrow down the invoice list:
- Search — Search by invoice number or member.
- Membership Types — Filter by a specific membership type, or view all.
- Invoice Status — Filter by status, or view all.
- Payment Methods — Filter by how the payment was made, or view all.
- From Date / To Date — Filter invoices within a specific date range.
Click Apply Filter to update the results, or Clear to reset all filters.
Payments List
The table displays the following information for each invoice:
- Invoice — The invoice number, along with the payment method used and card details where applicable.
- Member — The name and email of the member the invoice belongs to.
- Status — The current status of the invoice, such as Paid.
- Invoice Date/Time — The date and time the invoice was generated.
- Total — The total invoice amount.
Click the three dot menu under Actions next to any invoice to access the following options:
- Detail — Open the full receipt for this invoice.
- Send via Email — Email a copy of the invoice to the member.
- Member Profile — Jump to the member’s profile page.

Viewing a Receipt
Selecting Detail opens the full receipt for the invoice, showing:
- Invoice Number — The unique identifier for the invoice.
- Invoice Amount — The total amount charged.
- Membership — The membership type the invoice relates to.
- Payment Method — How the member paid, e.g. Debit/Credit Card.
- Invoice Date — The date and time the invoice was created.
- Payment Status — The result of the payment, e.g. Success.
- Payment Source — The card or account used, e.g. Visa ending in 1111.
Use the mail icon at the top right to send the receipt via email, or the download icon to save it. Click Back to Invoices to return to the full payments list.
Notes
Each receipt includes a Notes section where you can add internal notes related to the invoice. Click + Add Note to add one. If no notes have been added, this section will display “No notes captured.”
Member Detail
The receipt also displays the member’s details associated with the invoice, including Name, Email, Phone, Street Line 1, Street Line 2, and Zip. Click View Detail next to the member’s name to open their full Membership Profile. Any fields not provided will display as “—.”
Line Items
A breakdown of everything included in the invoice is displayed in a table, showing the Description, Quantity, Rate, Tax, Service, and Amount for each item, along with the Net Total at the bottom.

Sending an Invoice via Email
Selecting Send via Email opens the Review Recipients window, where you can:
- Confirm or edit the Recipient Email.
- Toggle Notify Organizer to send a copy to the organizer.
- Add Other Notification Emails, separating multiple addresses with a comma.
Click Send Email to deliver the invoice, or Cancel to close the window without sending.
Building custom forms for membership
Create reusable form templates with a drag-and-drop builder, configure field validation and requirements, preview your forms, and attach them to any membership type.

Creating a Custom Form
Click + Create Form in the top right corner to open the form builder. The builder lets you drag field types from the palette, arrange them on the canvas, and configure their settings in the inspector panel.
Start by filling in the basics:
- Name — An internal name for the form, used to identify it when attaching it to a membership type.
- Header Text — The heading shown above the form to members.
- Description — Optional context shown alongside the form.
- Layout Columns — Choose how many columns the fields are arranged in.
Field Palette
The Field Palette on the left lists all available field types you can add to your form, including:
- Text Input
- Email Input
- Number Input
- Date Picker
- Dropdown
- Checkbox
- Radio Buttons
- Comments
- Upload File
- Password
- Phone
- Multi Select
- Country
- Select Option
Click any field type to add it to the form canvas, or use the search bar to quickly find a field by name or type.
Form Canvas
The Form Canvas in the center shows all the fields currently added to your form. From here you can:
- Click a field to select it and edit its properties in the Field Inspector.
- Use the arrows to reorder fields, or drag them into place.
- Click the trash icon to remove a field.
- Click Preview to see how the form will look to members.
- Click Clear All to remove every field from the canvas.
Field Inspector
When a field is selected on the canvas, the Field Inspector on the right lets you configure its properties, including:
- Label — The name displayed for the field.
- Placeholder — Text shown inside the input before a value is entered.
- Tooltip — Optional helper text for the field.
- Default Value — A pre-filled value for the field.
- Required — Toggle whether the field must be filled in.
- Required Message — The message shown if a required field is left empty.
- Min Length / Max Length — Set character limits for text-based fields.
Previewing a Form
Click Preview at any point while building to see exactly how the form will appear to members, including all fields, labels, and layout. Click Close Preview to return to editing.
Once you’ve added at least one field and filled in the required basics, click Create to save the form.
Managing Custom Forms
The Custom Forms list displays all your saved form templates, showing the Name, Header Text, and the number of Mapped Fields for each form. Use the search bar to quickly find a form by name.
Click the three dot menu under Actions next to any form to access the following options:
- Edit — Return to the form builder to update fields or settings.
- View — Preview the form as members would see it.
- Duplicate — Create a copy of the form to use as a starting point for a new one.
- Delete — Permanently remove the form.
When editing a form, click Save Changes to apply your updates, or Back to Forms to return to the list without saving.
Membership Custom Lists
Custom Lists let you group members into reusable, named lists that you can use again and again.

Instead of filtering your member table every time you need the same group of people, you save that group once and pick it whenever you need it, for example when sending a member alert. A list can be built from any membership type and can be edited after it is created.To access Custom Lists, go to Membership in the left sidebar and click Custom Lists.

Creating a Custom List
Click + New Custom List in the top right corner to open the list builder. Give the list a name, optionally add members to it, and save it.

Step 1: List Name
Enter a name for your list, for example “APPNA Voting List” or “Mother and Child Care.” This field is required and the name must be unique within your organization, so you can always tell two lists apart when you select one later.
Step 2: Add Members
Adding members is optional at this stage. You can build the list now or create it first and add members later. To add members:
- Membership Type — Select a membership type from the dropdown. Members load only after you apply a membership type filter, so nothing appears in the table until you do this.
- Apply Filter — Click to load the members that belong to the selected membership type.
- Filter by name or email — Search within the loaded members to find a specific person quickly.
- Select members — Tick the members you want to include. The counter above the table shows how many members are loaded and how many you have selected.
- Clear — Resets the membership type filter so you can load a different set of members.
You can repeat this for more than one membership type, so a single list can hold members from different plans.
Step 3: Create the List
Click Create list to save it. The list now appears on the Custom Lists page and is available anywhere lists are used, such as the audience selector when sending a Member Alert. Click Cancel or Back to lists if you do not want to save it.
Finding a List
Use the Filters panel at the top of the page to narrow down what is shown:
- Custom Lists — Select a specific list from the dropdown instead of viewing all of them.
- Name — Search for a list by its name.
- Apply filter — Runs the filter, and Clear resets it back to all lists.
Understanding the Custom Lists Table
Each row in the table shows one saved list:
- Actions — The three dot menu with the options available for that list.
- List Name — The name you gave the list. Click the column header to sort alphabetically.
- Members — How many members are currently in the list.
- Created — The date the list was created.
The total number of lists is shown on the right of the table header, and the entry count and pagination controls appear below the table.
Managing Custom Lists
From the Custom Lists table, click the three dot menu in the Actions column of any list to manage it. From there you can open the list to view or change its members, rename it, or delete it permanently. Deleting a list does not delete the members inside it, it only removes the grouping.
Documents
Documents let you share downloadable files with your members, organized into categories.

Each category holds a set of files and is made visible to the membership types you choose, so an annual member and a lifetime member can see different sets of documents. Use it for event details, forms, policies, newsletters, or any file your members need to download.To access Documents, go to Membership in the left sidebar and click Documents.

Creating a Document Category
Click + New Category in the top right corner to open the category form. You create the category and upload its files in one place.

Step 1: Name
Enter a name for the category, for example “Event Detail” or “Annual Reports.” This is the name members will see, so keep it short and descriptive. This field is required.
Step 2: Membership Types
Select which membership types can see this category from the Membership Types dropdown. Only members on the selected types will have access to the files inside it. You can select more than one membership type if the same documents apply to several plans. Learn more about Membership Types.
Step 3: Description
Write a short description of what the category contains. This helps members understand what they are downloading before they open the files.
Step 4: Upload Documents
Add the files for this category by dragging them into the upload area or clicking it to browse your computer. Keep the following limits in mind:
- You can upload up to 5 files at a time.
- Each file can be up to 5 MB.
- Uploading is optional here. Files begin uploading as soon as the category is created, and you can add more later.
Step 5: Create the Category
Click Create category to save it and start the upload. The category then appears in the Document Categories table and becomes available to the membership types you selected. Click Cancel or Back to Documents to leave without saving.
Understanding the Documents Table
Each row in the table represents one category:
- Actions — The three dot menu with the options available for that category.
- Name — The category name. Click it to open the category.
- Visible To — The membership types that can access the category, shown as tags.
- Access — The download control for the files in the category.
- Documents — How many files the category currently holds.
- Created — The date the category was created.
Use the Name field in the Filters panel to search for a category, then click Apply filter. Click Clear to return to the full list.
Managing Document Categories
From the Document Categories table, click the three dot menu in the Actions column of any category to manage it. From there you can open the category to view or download its files, edit its name, description, visibility and files, or delete the category permanently. Deleting a category also removes the files stored inside it, so download anything you want to keep first.
Member Alerts
Member Alerts let you send short notifications to your members, either instantly inside the portal or by email.

You choose who receives the alert by membership type, membership status, or a saved custom list, and you can send it right away or schedule it for a later date and time. Every alert you send is kept in a list with its delivery status and read count.To access Member Alerts, go to Membership in the left sidebar and click Member Alerts.

Creating an Alert
Click + New Alerts in the top right corner to open the alert composer. The composer has two parts, the message at the top and the audience below it, so you can write the alert and confirm exactly who will receive it before sending.

Step 1: Priority
Set how important the alert is. The priority is shown against the alert in the list and tells members how urgently to act on it. Choose from:
- Urgent
- Important
- Normal — The default.
- Low

Step 2: Channel
Choose how the alert is delivered. This field is required:
- Instant — Delivered as a notification inside the portal.
- Email — Delivered to the member’s email address.

Step 3: Schedule for Later
By default the alert is sent as soon as you submit it. Tick Schedule for later and pick a date and time if you want it to go out at a specific moment instead. The current UTC time is displayed in the top right corner of the composer so you can set the schedule against the right time zone.
Step 4: Title
Enter the alert title. This is what members see first, so keep it clear and specific, for example “New Event.” The title is required and is limited to 25 characters, with a counter under the field showing how many you have used.
Step 5: Message
Write the body of the alert. The editor supports basic formatting including bold, italic, bulleted and numbered lists, and block quotes, along with undo and redo. Keep the following in mind:
- The message is required and is limited to 300 characters, shown by the counter below the editor.
- Rich text is stored as sanitized HTML, so unsupported markup is stripped out.
- Alerts are meant to be short. If you need to share detail, link members to the page or add the file under Documents.
Step 6: Choose Recipients
Select who should receive the alert in the Audience section. There are two sources to choose from:
- Members — Target members directly. Choose one Membership type and one Membership status, then click Apply to load the matching members.
- Custom Lists — Target a list you have already saved. Learn more about Custom Lists.

Step 7: Review the Audience Preview
The Matched members table below the filters previews exactly who will receive the alert, with each member’s name, email and membership type. The counter on the right shows how many members matched. You must choose at least one filter and press Apply before the preview loads, and only the filtered page is fetched rather than your entire member table.
Step 8: Send the Alert
Once the message and audience look right, click Send alert. If you scheduled it, the alert is queued and goes out at the time you set. Click Cancel or Back to alerts to leave without sending.
Understanding the Alerts Table
Every alert you have sent or scheduled is listed on the Member Alerts page:
- Actions — The three dot menu with the options available for that alert.
- Title — The alert title.
- Priority — Urgent, Important, Normal or Low.
- Channels — Whether the alert was sent as Instant or Email.
- Status — The delivery state of the alert, such as Sent or Scheduled.
- Recipients — How many members the alert was delivered to.
- Read — How many recipients have opened it.
- Sent — The date the alert went out.
Use the Filters panel to search alerts by Title or narrow them by Status, then click Apply filter. Click Clear to return to the full list. Any column with sort arrows in its header can be sorted.
Managing Member Alerts
From the Member Alerts table, click the three dot menu in the Actions column of any alert to manage it. From there you can open the alert to view its full message and delivery details, or delete it from the list. An alert that has already been sent cannot be recalled, so review the audience preview before sending.
